# Agent Handoff — Convention
External agents (Hermes, Leonard, or any other) share the same filesystem as the
crew. "Passing documents to the crew" is a file convention, nothing more.
## The Drop Zone
**`00_Raw/Incoming/`** — the only folder external agents write to. Anything dropped
here is new material for the crew to process. Once processed, files are routed out
and the folder is left clean.
## How to hand off a document
1. Write a Markdown `.md` file into `00_Raw/Incoming/`.
2. Use a dated filename: `YYYY-MM-DD-topic.md`.
3. Include a frontmatter block with the fields below. `source` and `intent` are
required; the rest optional.
```markdown
---
source: hermes # which agent produced this (hermes, leonard, claude, ...)
intent: idea # how the crew should treat it (see table below)
date: 2026-09-16 # note's date, YYYY-MM-DD
project: "" # optional: related project
priority: medium # optional: low | medium | high
tags: [] # optional: suggested tags
---
# Topic title
Body as free-form markdown. The crew will file and refine it.
```
## Intent routing (how the crew handles each file)
| intent | Action |
|-----------|--------|
| `idea` | Scribe → polished Idea note |
| `task` | Scribe → Task note with action items |
| `note` | Scribe → Note in relevant area |
| `reference` | Sorter → filed under Resources |
| `meeting` | Sorter → Meeting note under 06_Meetings |
| `person` | Sorter → Person note under 05_People |
| `project` | Sorter → Project note under 04_projects |
| `unknown` / missing | Held in `00_Raw` and handled on triage |
## Crew-side processing
- Say **"process my handoffs"** (or "triage the inbox") to run the flow.
- The crew reads every file in `00_Raw/Incoming/`, routes by `intent`, updates the
relevant MOCs, and logs each handoff in `Meta/agent-log.md`.
- Processed **source files are moved** to their destination (or to `10_archive`
once obsolete).
## Registered handoff sources
| Source key | Name | Role | Default intent |
|------------|------|------|----------------|
| `jimmy` | Jimmy | General-purpose Hermes assistant | `note` |
- `source` values are lowercase, matching each agent's name/key (e.g. `jimmy`).
- When a file's `intent` is missing, the source's default intent is used.
## Rules
- External agents never write anywhere else in the vault.
- No secrets in handoff files.
- Preferred filenames: `YYYY-MM-DD-topic.md`.
- If a handoff lacks `intent` and the source is unknown, default to triage
behavior (`unknown`).

# Vault Health Report — 2026-09-16
## Summary
- Total notes: 141 (crew-repo and hidden folders excluded)
- Notes processed this week: 5 (handoff sweeps)
- Health score: 78%
- Trend: new system (first report)
## Structure
- Crew-scaffolded areas: 5/5 compliant (Work, Finance, Learning, Personal, Side Projects) with `_index.md` + MOC
- Pre-existing PARA + Agent OS structure: preserved and healthy (00_system, 01_Wiki, 02_agents, facts, sessions)
- **Loose root files**: AI & LLM MOC.md, Business MOC.md, Development MOC.md, DESKTOP_SYNC.md, GEMINI.md sit at vault root — not in MOC/
- **20_Areas/VPS/** exists without `_index.md` and without a MOC — orphan area (created pre-crew)
- **05_People/ and 06_Meetings/ are empty** — crew folders but no content yet
- 04_Daily/ vs sessions/ overlap: dated notes exist in both (2026-09-10 → 2026-09-15)
## Duplicates
- Found: 12 filename collisions — STATUS.md(10), README.md(8), index.md(2), decisions.md(2), dated daily notes
- Analysis: most collisions are EXPECTED (README/_index per folder, STATUS pre-crew). Real dupes: dated daily notes in `sessions/` vs `04_Daily/`.
- Merged: 0
- Awaiting user decision: dated daily-note collisions
## Links
- Broken wikilinks: 64 flagged by scan
- Analysis: many are pre-crew template artifacts (`[[Project Name]]`, `[[Note Name]]`) and stale links inside `10_archive/onedrive-second-brain-vault-2026-07/` (archived vault — not actionable)
- Real issues: root-level MOCs (AI & LLM, Business, Development) contain empty stub links; VPS cheatsheet not linked from any MOC
- Orphan areas: VPS
## Frontmatter
- Notes audited: 141
- Issues found: 74 notes have NO frontmatter (pre-crew Agent OS notes — expected, they're structured differently)
- 19 notes have frontmatter but no `type` field
- Auto-fixed: 0 (conservative mode)
## MOC Status
- MOCs up to date: 6/6 (crew MOCs: Index, Work, Finance, Learning, Personal, Side Projects)
- MOCs updated: 0
- New MOCs created: 0
- Missing: VPS has no MOC; root-level Development/Business/AI-LLM MOCs not linked into MOC/Index.md
## Tag Health
- Total unique tags: 40 (from 141 notes)
- Orphan tags: ~5 beyond taxonomy (e.g., `handshake`, `dry-run`, `protocol` from handshake; `personal`, `work` used as plain toggles instead of `area/...`)
- Suggested merges: 0
## Inter-Agent Activity
- Pending messages: 0
- Resolved this session: 0
- Handoff protocol active: source `jimmy` registered, dry-run routed correctly
## Month-over-Month Trends
N/A — first health report. Baseline established.
## Recommendations
1. **Fold VPS into crew structure** — add `_index.md`, register in vault-structure.md, create `MOC/VPS.md`, link from master index. (Architect)
2. **Decide daily-note home** — `sessions/` vs `04_Daily/` overlap; consolidate one direction. (Architect + user decision)
3. **Fold root-level pre-crew MOCs** (AI & LLM, Business, Development) into MOC/ or link them from MOC/Index.md so nothing is orphaned. (Architect)
4. **Backfill `type` frontmatter** on 19 partial notes and optionally the 74 pre-crew notes (Scribe). Low priority — pre-crew notes use their own convention.
5. **Fill 05_People/ and 06_Meetings/** — crew folders ready but empty; will populate on first meeting/person capture.
6. **Consider a MOC for VPS or fold VPS.txt content** — `20_Areas/VPS/VPS.txt` is a plain-text note in a markdown vault.

# Naming Conventions
All agents in the crew must follow these naming rules when creating or renaming folders and files.
## Folders
- **Kebab-case** (lowercase, hyphens): `04_projects/hermes-local-pc-setup/`
- Existing numbered prefixes (`00_`, `04_`, `20_`) are retained and respected
- Area names under `20_Areas/` are Title Cased: `Savings Goals`, `Side Projects`, `Startup Ideas`
## Files
- **Kebab-case** for project/status files: `status.md`, `decisions.md`
- **Title Case with spaces** for templates and note types: `Meeting.md`, `Weekly Review.md`, `Daily Note.md`
- **Descriptive** wikilink-friendly titles preferred: `Tailscale-Headscale-Cheatsheet.md`
- Dates follow ISO 8601: `YYYY-MM-DD` (e.g. `2026-09-16`)
## Dates & Time
- Dates: `YYYY-MM-DD` in frontmatter and file names
- Timestamps: ISO 8601 with timezone
## Frontmatter
Every note MUST have a `type` field: `note`, `project`, `area`, `moc`, `meeting`, `task`, `idea`, `person`, `daily`, `journal`, `book`, `course`, `budget`, `investment`, `work-log`, `weekly-review`.
`status` field on actionable notes: `inbox` (new) → `active` → `done` / `archived`.
## MOCs
Located in `MOC/`. Named `{{Area Name}}.md`, Title Case, spaces allowed. Master MOC is `MOC/Index.md`.
## People
Located in `05_People/`. Named `{{Full Name}}.md`.
## Meetings
Located in `06_Meetings/YYYY/`. Named `{{YYYY-MM-DD}} {{Meeting Title}}.md`.
## Daily Notes
Located in `04_Daily/`. Named `{{YYYY-MM-DD}}.md`.

- `#status/active` — in progress
- `#status/done` — completed
- `#status/archived` — closed
## Domain Tags (examples — expand over time)
- `#startup`, `#savings`, `#self-study`, `#goals`, `#health`, `#ai`
## Hierarchy Rules
- Every note uses its `type` tag
- Area notes use their `area/...` tag in addition
- MOCs and area indexes carry both `#moc`/`#area` and their area tag
- Do NOT invent new top-level tags without updating this file and the tag-garden skill

# Obsidian Vault Usage Manual
> Purpose: the single-source-of-truth for how to work inside this Obsidian vault. Written 2026-09-16 by Jimmy. Study-first.
> Owner: the crew / vault steward. Status: active.
This vault is the **shared long-term memory** for all agents (Hermes, Leonard, Charlie, Athena, Claude, local LLMs via LM Studio). Local-first plain Markdown + YAML frontmatter, Git-backed to Gitea on a 6h auto-sync. Think of it as a **compounding agent memory system**, not a notebook.
## 1. Structure (PARA + Agent OS hybrid)
| Tier | Token | Folder | Purpose |
|------|-------|--------|---------|
| Inbox | `00_Raw/` | Dump zone; `Incoming/` is the external-agent handoff inbox |
| Projects | `04_projects/` | Time-bound initiatives; each has `status.md` + `decisions.md` |
| Areas | `20_Areas/` | Ongoing responsibilities: Work, Finance, Learning, Personal, Side Projects |
| Resources | `30_Resources/` | Evergreen knowledge; `Review Later/` is the unprocessed capture queue |
| People | `05_People/` | Person notes |
| Meetings | `06_Meetings/` | Meeting notes (by year) |
| Workflows | `08_workflows/` | Process docs and validation records |
| Wiki | `01_Wiki/` | Reusable techniques, failure modes |
| Daily | `04_Daily/` | Mentor/coaching log (yours — keep it yours) |
| Archive | `10_archive/` | Hibernation — move, don't delete |
| Templates | `09_templates/` | Note templates |
| MOCs | `MOC/` | Maps of Content / indexes |
| System | `Meta/` | Vault system docs (this file, handoff protocol, taxonomy, log) |
## 2. Two ingestion paths
### A. External-agent handoffs (how I feed you)
1. Write a dated `.md` to `00_Raw/Incoming/` with **YAML frontmatter**:
`source:` (agent key, e.g. `jimmy`), `intent:` (an enum value), `date:` (`YYYY-MM-DD`).
2. You sweep the inbox with **"process my handoffs"**:
each file is routed by `intent`, the source is **moved** (not copied) to its destination,
and a row is appended to `Meta/agent-log.md`.
3. Intent routing table (canonical copy in `Meta/agent-handoff.md`):
| intent | Routed by → | Destination |
|--------|--------------|-------------|
| `idea` | Scribe | polished Idea note |
| `task` | Scribe | Task note with action items |
| `note` | Scribe | Note in relevant area (`08_workflows/`, etc.) |
| `reference` | Sorter | `30_Resources/` (→ `Review Later/` for repos/links/articles) |
| `meeting` | Sorter | `06_Meetings/<year>/` |
| `person` | Sorter | `05_People/` |
| `project` | Sorter | `04_projects/<name>/` |
| *(missing/unmatched)* | — | **held** in `00_Raw` pending triage |
### B. Agent direct writes (agents authoring inside the vault)
Use the `obsidian` skill house style:
- YAML frontmatter on every new note (`title`, `tags`, `type`, `status`).
- Connect notes with wikilinks `[[Note Name]]`; verify each resolves.
- Tag against the **official taxonomy** in `Meta/tag-taxonomy.md` (type / area / status / domain).
- When you create a file, log it: add a row to `index.md` (Projects/Knowledge tables) so nothing is orphaned.
## 3. The daily loop (keep it tight — RTX 3060 token discipline)
1. **Capture** — agent activity logs, conversation summaries, cron dumps, handoffs.
2. **Organize** — run the sweep; summarize yesterday; update `status.md`s; wikilink related notes.
3. **Compress** — don't dump raw chat history. Prompt: *"Reconsider and compress the last 7 days into concise project updates in the vault."*
4. **Backup** — Git auto-syncs to Gitea every 6h (publisher mirror is the canonical remote; `Documents\Obsidian Vault` has no `origin` now — don't hand-edit). Quarterly full backup.
## 4. How to connect your agents
- **Hermes / local agents**: use the `obsidian-second-brain` skill, or read relevant `.md` files directly at session start.
- **Claude Desktop**: open the vault folder as a project (file access).
- **LM Studio / local LLMs**: system prompt includes *"You have access to the Obsidian vault at [path]. Use the provided tools or read relevant .md files before answering."*
- Every session starts by **reading** relevant notes → agents wake up smarter → writes back results → tomorrow's agents benefit.
## 5. House style (for agent-authored notes)
- `# Title`, then a `>` context blockquote with the date.
- `##` sections; evidence-first bullets.
- Close with an **Owner / status** or **Open items** section.
- Reusable technique/failure mode → `01_Wiki/<topic>.md`.
- Anything with an owner (project/integration) → `04_projects/<name>/status.md`.
## 6. Rules & don'ts
- **Do** add rows to `index.md` for every new file.
- **Do** run a secrets sweep before any bulk delete (vault is Git-published): scan `sk-…`, `ghp_…`, `AIza…`, `password: …` across `.md`/`.txt`/`.json`/`.yaml`.
- **Do not** invent tags or folders outside `Meta/tag-taxonomy.md`.
- **Do not** hand-edit Git config or `Documents\Obsidian Vault` remotes — leave committing to the cron job.
- **Do not** use `04_Daily/` for agent session notes (it's the user's mentor log).
- **Do not** bulk-delete "duplicates" without tracing references in `index.md`, `HOME.md`, `STATUS.md` (leads to dangling wikilinks).
- When two folders overlap in purpose, keep content in the one the project's `status.md` / `index.md` already treats as canonical; move (don't copy), then `rmdir` the empty source.
- **Locked files (Windows):** if Obsidian holds a file open, `unlink` raises `WinError 145`. Report and let the user close Obsidian; don't force-delete.
## 7. Quick cheat sheet
- Ingest (external agent): `00_Raw/Incoming/YYYY-MM-DD-topic.md` + frontmatter → you say **"process my handoffs"**.
- Capture queue: `30_Resources/Review Later/` (repos, links, articles to review later).
- Daily compress: "Reconsider and compress the last 7 days into concise project updates."
- Secrets rule: sweep before any move/delete; the auto-sync publishes every keystroke.
- Never delete: move to `10_archive/` instead.
## 8. Related files
- `Meta/agent-handoff.md` — the drop-zone contract (authoritative).
- `Meta/vault-structure.md` — folder reference.
- `Meta/tag-taxonomy.md` — official tag list (don't invent new ones).
- `Meta/naming-conventions.md` — filename rules.
- `Meta/agent-log.md` — append-only log of crew sweeps.
